Alex from Monroe, Georgia uses Microsoft Teams to record all her meetings. She wants to transcribe the calls to text, so she asked me, “What is the best software I can get on a laptop?”

Luckily, she doesn’t need to download any fancy programs. She can start a live transcription during any Teams meeting. Just go to the meeting controls, select More actions and tap or click Start transcription. Everyone involved gets a notification that the meeting is being transcribed.

The new transcript will then show up on the right side of your screen. You can even download the transcript after the meeting is over. Just head to the calendar in Microsoft Teams and open the meeting event. Select the transcript, tap or click Download, choose your file type and you’re good to go.

Want to see screenshots of each step in action? Here’s the official guide from Microsoft Teams.

Of course, this advice is only helpful for future calls. But what if Alex wants to transcribe old calls? She can head to Otter.ai, a free website that lets you transcribe three 30-minute audio files. (If you want to transcribe even more calls, you have to pay.)

There are a few other ways to get the job done, too. Tap or click here for five easy ways to convert your audio files into text.
