Aside from being a file server I do not think CentOS8 is really doing anything else for you, are your computers on a Domain? or is everyone local Admin? Looking at Drake and Interactive legal they both look to be hosted on their own servers and not on premise. I really think you should get all of your data backed up from the CentOS8 box then have that server reinstalled with Windows so you can get a proper Domain configured for your employees to log in to. Regarding the Xerox, if someone configure SMB / Samba shares on the server I’m sure Xerox would then be able to scan to shared folders.
I think it is in your best interest to get as far away from CentOS as quickly as possible.
